Why it matters for a small property
Repeat guests are the cheapest bookings a homestay gets: no commission, no persuading. They also expect to be remembered. "Welcome back, same room as last time?" is easy when the owner takes every call, and hard when a caretaker or a new staff member picks up the phone.
What a profile holds
- Name, phone with country code, email, address, city and country.
- Nationality, date of birth and gender, for the guest register.
- Company name and GST number, so business guests get the right invoice.
- Preferences and notes, such as "vegetarian, ground-floor room, early check-in".
- A VIP / repeat guest tag.
- A Do not book flag with a reason, shown as a red warning whenever that guest comes up.
- Every past and upcoming stay, on one page.
Search by name, phone, email or city.
IDs, kept private
Photos or PDFs of ID cards and passports attach to the guest and the booking, straight from a phone's camera or gallery. Files sit in private storage, are checked to be real images or PDFs, and open only for signed-in staff. At check-in, InnRow reminds staff if no ID has been added for the adults.
For guests from another country, the passport and visa fields appear on their own: passport number, place and dates of issue and expiry, visa details, arrival in the country, next destination and purpose of visit. In India these feed the Form C helper.
Bookings from your website
When a guest books through your booking page, InnRow links the request to their profile by phone number. What they type on the page never overwrites the details you already have.
Questions about guest profiles
How does InnRow recognise a repeat guest?
By phone number. When you start a new booking and enter a number that is already on file, InnRow shows that guest's profile and past stays.
Can I block a guest from booking again?
Yes. Mark the profile "Do not book" with a reason. Staff see a red warning whenever that guest comes up.
Who can see guest ID photos?
Only signed-in staff. Files sit in private storage and are never public.
