How it reads
- Rows are rooms. Each room, cottage or villa has its own row.
- Columns are nights. Swipe sideways to move through the weeks.
- Bars are stays. Terracotta for booked, yellow for on hold, grey for closed by a booking site or by you. Every bar carries the guest's name or the source, so colour is never the only clue.
- Empty squares are free. Tap one to start a booking for that room from that night.
Booking from the calendar
- Tap + or an empty night.
- Pick the dates and the rooms. InnRow shows only rooms that are free for every night you picked.
- The default price fills in from your rate plan. Change it per night, or type one agreed total for the stay.
- Save it as an enquiry (doesn't block the room), a hold (blocks it for 24 hours, then releases it) or confirmed (blocks it until cancelled).
Today screen
The calendar's partner is the Today screen: arrivals, departures, holds about to expire, enquiries to follow up, booking-site reservations that need a guest name and price, and Form C due. Most mornings start there.
Replacing the register book
Most small properties start with a paper register or a spreadsheet. The calendar replaces the planning part; the guest register replaces the record of who stayed. Both are kept for you and download as Excel.
Questions people ask
What is a room availability calendar?
It is a grid with rooms down the side and dates across the top, showing which nights each room is booked, on hold or free. Hotels call it a tape chart.
Can I see the calendar on my phone?
Yes. The calendar is designed for phone screens first and also works on tablets and computers.
